Choosing a Voice AI Provider: 8 Criteria

9 min.Reading time

Choosing a voice AI provider is not a technology decision, but a compliance, data, and integration decision. Eight criteria determine whether you build a voice AI that lasts, or one that you will soon have to replace: GDPR, EU AI Act, accessibility, pricing model, integration, multilingualism, insights, and optimization.

Choosing a Voice AI provider is not a technology decision. It is a compliance, data, and integration decision. Those who only opt for the cheapest or fastest-to-set-up tool will end up with a solution that, in two years, will either no longer be GDPR-compliant or will not integrate with their website AI.

Eight criteria determine whether you build a Voice AI that lasts, or one that you will soon have to replace.

1. GDPR & EU Hosting

The first question is not what the Voice AI can do. The first question is where your data lands. US servers are a procurement blocker for DACH companies. GDPR, data processing agreement under Art. 28 GDPR, Schrems II. Those who offer EU-native hosting win.

Check three things: Where is the audio data processed? Is there a DPA from day one? Where are the transcripts and call logs run? If the answer to any of these questions is "USA", the provider is out of the running for the European market.

Providers like Fonio host in Nuremberg, Newcall in Germany, Pendura in the EU. branchly runs on Microsoft Azure in EU datacenters for the LLMs and OVH Cloud for user data. Nothing leaves the EU.

2. EU AI Act Compliance

The EU AI Act has been in force since August 2024, with obligations taking effect in stages. From August 2026, the transparency rule applies: callers must know they are speaking with an AI. From December 2027, the high-risk system obligations for biometric, critical infrastructure, education, and employment cases apply, postponed by the "AI omnibus" agreement of May 2026 (EU Commission, July 2026). Fines up to 7% of annual turnover.

Ask the provider: How is transparency solved? How are conversations logged? Is there human oversight? Anyone who cannot prove this risks fines. A Voice AI that works today but provides no audit trails in 2027 is not a solution. It is a compliance risk.

3. WCAG/BFSG Accessibility

Accessibility has been mandatory for B2C services since June 28, 2025, for companies with more than 10 employees and more than €2 million in turnover. Fines up to €100,000. Most Voice AI tools are not WCAG 2.1 AA compliant because accessibility is thought of as an afterthought feature, not a basic requirement.

For Voice AI, WCAG means: clear speech output, understandable dialogue guidance, support for assistive technologies, accessibility in the language the caller speaks. branchly delivers accessibility out of the box, for all six modules. Anyone who has to add accessibility retroactively pays twice.

4. Pricing Model

Voice AI pricing models range from €650 per month to six-figure enterprise contracts. The question is not what is cheapest, but what fits your call volume.

There are providers for SMEs that go live in minutes, providers for tourism organizations with a go-live in one week, and enterprise solutions for contact centers with complex telephony infrastructure. branchly has the right partner for every use case. Which solution is right depends on the industry, call volume, and existing infrastructure.

Check: What is the average cost of a call? Are there setup fees? What happens during call peaks? What does an additional language cost? A cheap basic price with expensive extra costs for languages or integrations often ends up being more expensive than a higher basic price with everything included.

5. Integration Capability

A Voice AI that does not connect to your existing systems is an island. It answers calls, but it knows neither your product data nor your customer history. A good Voice AI accesses CRM, ERP, CMS, and DMS via APIs and webhooks.

There are partners that integrate natively into contact center infrastructure like ServiceNow, Twilio, Five9, Salesforce, and Genesys. Others offer direct DMS access for tourism organizations. Which integration you need depends on your existing infrastructure. branchly has the right partner for every use case.

Ask the provider: Which integrations are available out of the box? What does a custom integration cost? How long does it take to connect to your CRM? A Voice AI that thinks it can do everything through just a webhook is a voice without context.

6. Multilingualism

Not all multilingualism is created equal. Supporting 100+ languages means nothing if the quality in the important languages is poor. What counts is language comprehension, not the number of languages.

Newcall answers guest inquiries in over 25 languages, anchored in the destination's data. The Red Phone works in over 30 languages with a native audio voice model. branchly supports 101 languages natively, without a translation pipeline, because the AI understands and responds to the caller's language directly.

Ask the provider: How does the Voice AI react to accents and dialects? How good is the voice quality in the languages your customers actually speak? 30 languages with high quality beat 100 languages of mediocre quality.

7. Insights & Analytics

Most Voice AI providers collect data. Transcripts, topics, sentiment. But they do nothing with it. The data sits in the provider's dashboard gathering dust. This is where the difference between "buying Voice AI" and "strategically using Voice AI" becomes crucial.

What you need is not a dashboard that shows you what was asked. What you need is a dashboard that tells you what to do. Call topics turn into FAQ candidates. Frequently asked questions turn into website content. Sentiment trends turn into early warnings before frustration turns into complaints.

branchly aggregates voice data and website data into a single interface. What is asked on the phone sits in the same dashboard as what is asked in chat or in the hybrid search. This creates a complete picture that no isolated Voice AI provider can deliver.

8. Optimization Based on Insights

Insights are only valuable if they lead to a better Voice AI. The closed loop looks like this: collect data, analyze it, translate it into concrete recommendations, update the knowledge base, generate better answers, collect more data. If you do not close this loop, you have data, but no progress.

branchly does exactly that. The platform automatically evaluates call topics, generates FAQ candidates, suggests content gaps, and updates the central knowledge base. The Voice AI on the phone immediately benefits from optimizations made on the website, and vice versa.

This is the difference between a Voice AI provider that delivers data and a platform that builds a flywheel out of it. If you do not have this loop, you are running a voice on the phone that does not get better over time. If you have it, you are running a Voice AI that gets smarter with every interaction.

Summary

Choosing a Voice AI provider is a decision with consequences. GDPR, EU AI Act, and BFSG are not nice-to-haves, but basic requirements for the European market. Pricing model, integration, and multilingualism determine whether the Voice AI fits your company. Insights and optimization determine whether it gets better over time.

branchly does not offer its own Voice AI. branchly is the central knowledge base and dashboard that connects Voice AI solutions with your website AI. branchly has the right partner for every use case. The voice technology comes from the partner, the data basis and insights come from branchly. One platform, one DPA, one audit trail.

We would be happy to advise you on which partner fits your use case in a free, non-binding consultation: branchly.io/termin-vereinbaren.

Those who check the eight criteria do not choose the loudest provider. They choose the one that will still hold up in two years.
